Aspiring Law has built a reputation for its wide range of digital tools built on Josef.

The firm has over 30 tools currently in use and they’re all tied together by a strategic focus to enhance client experiences.

But what prompted Aspiring Law to digitally transform how they deliver their legal services, and why did they choose Josef?

In short, it’s because they saw the value in being a truly client-centric firm. Digital innovation enables the firm to zero in on clients’ journeys, unpack what works and can be improved, and reimagine each point along the way.

Here’s how Aspiring Law continues to enhance client experiences through no-code automation on Josef.

Driving and implementing Aspiring Law’s digital innovation are Director, Janice Hughes and Operations Lead Catherine Hall.

Together, they realised that each point of contact with clients is an opportunity to deliver value, maintain relationships and secure future business for the firm.

First comes acquisition, then onboarding, the point at which the firm delivers end products (such as an enduring power of attorney, for example), and then there’s the opportunity to retain clients via additional services.

The team needed a platform that would enable them to enhance each of these experiences and so began they began considering their options with legaltech.

Standing out from the crowd

Following a referral, Aspiring Law soon learned that not only was Josef’s no-code platform easy to use—a welcome “relief” for Catherine—but that it was flexible enough to build the kind of tools Janice and Catherine had in their sights.

The firm was sold and, “We just went with it!” says Janice.

At a higher level, the duo was cognisant that the firm doesn’t operate in a vacuum. There was (and still is) competition at play. Therefore, they intended to use Josef “to be different”. Their focus: “To make our digital offering our point of difference”, said Catherine.

Client intake and onboarding

Since building and launching their tools, the firm’s client bookings and onboarding processes have been streamlined benefiting both clients and the firm’s lawyers.

Their Josef intake tools, work in conjunction with Microsoft 365. Information can be provided by the client at the time of booking and then directed to other services the firm provides with less friction than ever.

The tools can be accessed whenever it suits the client best and can be completed at their own pace. The firm prides itself on supplementing online forms with as much useful information or education to help clients understand what is happening and why the information is required.

Accessible to everyone

Should someone prefer to speak on the phone? No problem! The firm’s internal tools ensure that lawyers can still reap the benefits of automation even when clients prefer to deal personally with the firm.

This maintains internal efficiencies and forms have become part of the team’s broader efforts to make their services as accessible as possible.

At a granular level, this approach to accessibility shapes how the firm communicates with clients via Josef.

Throughout many of the firm’s digital tools are infographics built and exported from the digital design tool Canva to visually communicate what the client’s completed so far in their pathway and what’s up next.

“It’s an effective way to mimic what we’d otherwise be talking to them through on the phone or in a meeting,” says Catherine.

Automated documents

The firm’s Property Report, Wills intake and Enduring Power of Attorney bots demonstrate the firm’s foray into document automation and using Josef to generate to end-product.

The Property Report bot combines a range of precedents to produce one cohesive document. The team uses the bot to select the options they want to report on and upon completion, an automated document is ready for review.

Meanwhile, the Enduring Power of Attorney tool represents how the firm has doubled down on its document automation efforts and created a document template from scratch. For context, the existing process required piecing together information using a legislated form and it was an inefficient process for clients.

To save them time in the long term and add value for their clients, Catherine created a version specifically for the firm, peppered it with Aspiring Law branding for good measure, and now the firm benefits from less time spent on generating a frequently requested legal document that was previously limited by an external provider.

The range of tools Aspiring Law have been able to build on Josef has enabled them to streamline their tech stack and cut down on unnecessary platform licences that they no longer need.

More leads and happy clients

By hosting a suite of public-facing, client-generating bots on the firm’s website, Aspiring Law now proudly hosts an online portal that both markets its services while enabling prospective clients to get help quicker than ever.

As soon as end-users start interacting with one of the tools on offer, the relevant team is notified via email who are then able to start scoping out the potential lead and the ways Aspiring Law can help.

“The number of comments we get about the website is amazing,” says Janice.

“As a small firm, it’s fantastic for us to be able to do this with just one platform,” Catherine adds.

Although the use of technology has been positively attributed towards improving internal processes, Aspiring Law agrees that legaltech has mainly been a positive external focus to improve client experience.

“Not only are we using Josef for internal efficiencies, but also for enhancing our client experience by providing education and ease of engaging with the law and legal services,” quotes Catherine.

Easy problem solving

Janice and Catherine’s first impressions of Josef as being flexible and easy to use remain true to this day.

“Anybody can use it”, says Catherine, and “what’s great is that we can quickly build tools to resolve issues that crop up around the office. It also allows you to make law creative!”

Client experience has improved, the firm’s lawyers continue to benefit from more efficient ways of working and, as Catherine puts it, Josef has become “a very fun part of our job and provides a gateway to a different way of thinking.”
