How Advocare recruits healthcare talent faster with self-service contracts

Watch Josef Co-founder & COO Sam Flynn chat with Advocare's VP of Risk, Jeremy Freshcorn.

Challenge

In today’s healthcare hiring market, speed matters.

Advocare, one of the largest independent multi-specialty physician groups in the United States, competes for physicians, physician assistants, and nurse practitioners in a highly competitive environment. Delays in getting contracts out can mean losing top talent.

Traditional drafting methods made it difficult to move quickly.

  • Employment agreements took time to prepare and circulate

  • Candidates often received only offer letters instead of full agreements

  • Legal and admin teams were spending valuable time gathering and re-entering information

As Jeremy Freshcorn, Vice President of Risk Management, Quality and Patient Safety, puts it: “It’s necessary we get contracts in people’s hands early, which was a challenge using traditional methods.”

When one organization delivers a complete agreement and another delivers only an offer letter, candidates notice.

Solution

Advocare partnered with Josef to build self-service contract tools to help the organization move fast.

The first focus was employment agreements. Through a guided workflow, key information is captured up front and used to generate tailored, state-specific agreements.

  • Automated templates meant no more drafting contracts from scratch

  • Guided intake collects the right information the first time

  • Faster turnarounds would remove any unnecessary bottlenecks

Reflecting on the build process, Jeremy says, “The platform’s user-friendly, and the Josef team helps us understand where it can go.”

Example: Competing with complete contracts

Previously, preparing employment agreements involved back and forth across teams and manual drafting again and again. Now, hiring teams can generate a ready-to-sign agreements in minutes.

Jeremy explains the motivation behind the project:

“When an applicant gets a fully drafted agreement from one organization and only an offer letter from another, it makes a huge difference. They think, ‘Who is more serious here?’”

“We’re able to draft employment agreements a lot faster. This gives us opportunity for us to compete.”

Next up, Jeremy and team will expand their contract suite to areas like credentialing, privileging, and insurance applications, as well as creating centralized intake workflows to streamline how provider information is collected and routed internally.

Results

Advocare can now move faster and continue bringing in the best talent for the group’s patients.

  • Contracts are delivered earlier in the hiring process

  • Legal and risk teams spend less time gathering routine information and more time helping the organization grow

  • There’s more time for direct communication and higher-value work

As Jeremy says, “The team is very busy. [Josef] lets them concentrate more on direct communication and spend less time gathering the information that’s necessary to move these processes forward.”
